Operations

After the sale

Win → pay → ship → done. Buyers always pay you (not CDX escrow). SpotPro software shops pack auction (and store + wholesale) remote orders from one place: Ecommerce → Ship Desk — same Shippo key as ExtraCoins.

SpotPro mental model: Orders = money & status across ExtraCoins + auctions + wholesale · Ship Desk = all remote pack & labels · Customers = one multi-channel buyer book. Docs: Ship Desk · Customers.

Happy path (automated where possible)

  1. Lot closes (timer, Buy Now, or accepted offer) → invoice created; buyer notified.
  2. Buyer pays seller on Pay seller (your card / PayPal / Zelle / wire / pickup methods, or a mailed check only if you turned on Accept mailed checks) → safety checks may require phone/ID. A mailed check is not paid until you mark Bank cleared. Do not buy a label or hand the coins over before that. If the check never arrives or bounces, cancel the invoice — the coins go back and the lot is not relisted.
  3. Seller confirms offline pay if needed; card success auto-marks paid.
  4. Ship — SpotPro: open Ecommerce → Ship Desk (or invoice rates/label) → buy Shippo label or enter tracking → buyer gets track link.
  5. Delivered (tracking poll) → complete / feedback.

Confirm payment before you ship. Never take card numbers by phone — only on-page processor checkout.

Shippo labels (SpotPro sellers)

Setup

SpotPro → POS Config / Integrations → Shippo live key (shippo_live_…). One key for ExtraCoins, CDX Auction, and wholesale labels on Ship Desk.

Preferred: Ship Desk

Ecommerce → Ship Desk — rates, buy label, Ship Sprint (batch cheapest), packing slips, multi-order groups. Auction wins appear with store and wholesale remote orders.

From a CDX invoice

Seller console → Payments → Get rates → pick service → Buy label, or open the matching Ship Desk group. Label PDF + tracking saved; status → shipped.

Print

Default 4×6 PDF for thermal printers. Open Print label on the invoice or from Ship Desk. Batch packing slips from the desk dock.

Tracking

  • Carrier deep links always (USPS/UPS/FedEx/DHL heuristics).
  • Shippo track status when seller has a key (auto refresh + manual refresh).
  • Buyer sees tracking on account payments / win details.
  • Manual tracking still supported for carriers bought outside Shippo.

Claims (anti-fraud aware)

Structured claims: not received / wrong item. Tracking evidence required. No auto-reship. Seller responds in console; evidence windows enforce waiting after ship / after delivered.
